Notice of Destruction of Medical Records

November 10th, 2022

Attention Parents/Guardians and Former Clients, medical records which have been collected by the Children’s Aid Society’s 3 locations related to Counseling, Family Advocacy, Parent Support Group, or Art Therapy related programming must be maintained under state and federal laws for a period of seven years after services have ended for adults, and seven (7) years beyond the age of eighteen (18) for children.

This notification is to inform Parents/Guardians and Former Clients of the Children’s Aid Society's (Lehman Center York, PA, Nicarry Center- New Oxford, PA, and the Francis Leiter Center-Chambersburg, PA) intent to destroy the medical records of clients who are no longer receiving services. These records will be destroyed in accordance with state law unless the parent/guardian or eligible (adult) notifies the Children’s Aid Society otherwise. After seven years, the records are no longer useful to the organization, but they may be useful to the Parent/Guardian or Former client in applying for Social Security benefits, Rehabilitation services, etc. Records for those having a date of birth on or prior to 12/31/1996 will be destroyed by 01/31/2023, clients having a date of birth between 01/01/1997 and 12/31/1997 will have their records destroyed by 03/31/2023 . Request for copies of medical records must be received by 12/15/2022.

The organization may charge $0.10 per copy for single sided pages for personal use and $0.25 per copy for Right to Know requests.
